MEMBER SERVICES COORDINATOR

The Frederick County Chamber of Commerce is a 501 C (6) not-for-profit organization that serves as the voice of business and provides strategic leadership and engagement in building the future of business in the Frederick county community.
The Member Services Coordinator serves as an integral part of the Chamber’s team and reports directly to the President & CEO.

PRIMARY DUTIES / AREAS OF RESPONSIBILITY 
The Member Services Coordinator works in collaboration with the staff of the Chamber to achieve the highest levels of customer service and communication excellence with efforts targeted to Chamber members and prospective members.
This individual will be front facing and regularly interact with members, volunteers, staff and leadership and will be a central part of a busy nonprofit team. A high level of professionalism, organization and sound judgment is critical to success in this position.

The candidate will be expected to:
  • Serve as an information resource and provide high quality experiences for members and prospective members regarding benefits, opportunities, discounts and programs.
  • Onboard and orient new members and oversee monthly new member orientation efforts.
  • Manage ribbon cuttings and ground breaking ceremonies.
  • Utilize CRM software in a variety of ways to assist with relationship management, event support, payment collection for dues and event fees and general database administration.
  • Provide ongoing member database support and training.
  • Provide ongoing organizational and technical support for board members, committee volunteers, members, sponsors, and community partners.
  • Develop, implement, and track effectiveness of retention efforts, activities, and strategies for members in their first through third years.
  • Assist Chamber team in executing programs and services to enhance membership and retention.
  • Play an active role in Chamber events and positively represent the Chamber in the community.
  • Perform general clerical duties to include but not limited to correspondence, photocopying, mailing and filing.  Duplicate, assemble, and collate documents
  • Process payments for events, membership dues, LFC tuitions etc.
  • Produce mailing labels, mailing lists and create invoices and collect money
  • Schedule Board and Small Conference Rooms logging on all appropriate calendars, including Skeeda.   Gather all  information needed to set up the room properly prior to arrivals.
  • Provide administrative support for events including event setup in Atlas, registrations, invoicing, follow up and producing name badges.
  • Register members for events, but also be prepared to teach them how to register themselves for the next time. 
  • Solicit feedback and regularly meet with member-businesses
  • Promote Chamber benefits to prospective members
  • Develop relationships and rapport with members, serving as primary contact for new member requests and FAQ’s
  • Work closely with membership representative(s) to coordinate positive member experience, from point of sale through third year renewal
  • Work in conjunction with appropriate staff to initiate communication and outreach to increase participation/engagement/value of our newest members
  • Make late membership renewal and account collection calls (email, telephone, and in-person)
  • Interview members that drop membership to determine reasons for dropping membership
  • Update Chamber staff on member concerns
  • Other duties as assigned  

QUALIFICATIONS
  • A baccalaureate degree or equivalent professional experience.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office Suite products, including Word, Excel and PowerPoint is essential.
  • Proficiency with Google Mail, Calendar and Drive. 
  • Preference will be given for experience with a Customer Relations Management (CRM) system.
  • Familiarity with the Zoom and Slack platforms.
  • Capable of dealing with tight deadlines and multiple tasks.
  • Flexible, friendly and outgoing and comfortable dealing with a broad spectrum of business industries and people.

The Member Service Coordinator position is full time and primarily office-based, with opportunities for remote-work. Physical demands: primarily sedentary/office work.
